Retro Dance Booking Terms
These terms cover wedding first-dance lessons, private couples sessions, adult classes, events and workplace wellbeing sessions.
1. About your booking
Retro Dance provides relaxed dance experiences with Katie. Your booking confirmation will describe the service, session length, participants, location, price and agreed dates. Please check it and tell Katie promptly if anything is incorrect.
Submitting preferred dates or making a payment does not confirm a particular appointment. Katie will contact you to agree availability. If a suitable first appointment cannot be agreed, you may choose an alternative or receive a full refund.

2. Prices and payment
Private lesson packages are payable in full using the payment link for your chosen package. The listed package price covers the stated number and length of lessons. Any additional lessons, venue hire, travel or bespoke work will be explained and agreed before you incur a charge.
Adult class prices and payment arrangements will be provided before booking. Events and workplace sessions are individually quoted; unless the accepted quote says otherwise, a 25% advance payment is due on confirmation and the balance is due seven days before the event.
Prices will not change after a booking is agreed unless you request a change and accept the revised cost.
3. Private lessons and class changes
Please give at least 48 hours’ notice if you need to cancel or move a booked session. With this notice, you may rearrange without a cancellation charge, subject to availability, or receive a refund for the cancelled session.
For less than 48 hours’ notice or a missed appointment, a charge may apply only to cover reasonable losses directly caused by the cancellation. Katie will take account of costs saved and whether the space is filled. Any charge will not exceed the price of that session, and Katie will explain the calculation. An entire package will not be forfeited because one appointment is missed.
Please get in touch as soon as possible about illness or an emergency so suitable arrangements can be discussed.
4. Events and workplace sessions
Date changes requested at least 14 days in advance can be made without a change fee, subject to availability. Any unavoidable third-party costs must have been clearly explained and agreed in advance.
If you cancel an event, any deduction from your advance payment or further cancellation charge will be limited to reasonable, evidenced losses, after allowing for saved costs and replacement work. The total charge will not exceed the agreed booking price. The same losses will not be charged twice. Any remaining payment will be refunded.
Changes to the venue, duration, group size or activities may require a revised quote, which you must approve before additional work proceeds.
5. Packages and unused sessions
Katie will agree a practical schedule with you. Please aim to use package sessions within six months of your first lesson; contact Katie if illness, availability or other circumstances mean you need longer. Sessions are not automatically forfeited at six months.
If you cancel the unused balance of a package, completed sessions will be valued at the package’s per-session rate. Any fair cancellation charge for an imminent appointment will be calculated under section 3. The remaining balance will be refunded, without retrospectively increasing the rate for lessons already taken.
6. If Katie needs to cancel
If Katie cannot provide a session, she will offer a suitable alternative or a refund for the affected session. You do not have to accept a credit or replacement date. If Katie cannot fulfil the remaining package or event, payments for the services not provided will be refunded. Your statutory remedies remain available.
7. Arrival, venues and taking part
Please arrive ready to begin at the agreed time. Late arrival may shorten your session where another booking follows. If Katie starts late, the lost teaching time will be made up or refunded proportionately.
Wear comfortable clothing and suitable footwear, follow reasonable safety guidance and work within your own comfort level. Please discuss access needs or adjustments with Katie in advance. Stop and tell Katie if an activity causes pain or discomfort. Dance sessions are not medical treatment; seek appropriate advice if you are unsure whether an activity is suitable for you.
Where you arrange the venue, please provide a safe, clear space suitable for the agreed activity. Katie will discuss any space or equipment requirements beforehand. These terms do not exclude responsibility for negligence or restrict rights that cannot lawfully be limited.
8. Your dance and recordings
Lessons are adapted to your experience, goals and available practice time. A specific performance result cannot be guaranteed. Let Katie know your chosen music and important event dates in good time.
You may record agreed parts of your lesson for personal practice with Katie’s permission. Please obtain permission from anyone else included. Retro Dance will ask separately before using identifiable customer photos or videos in publicity; agreeing to a booking does not give marketing permission.
9. Online cancellation rights
Where a statutory cooling-off period applies to an online or telephone booking, you may cancel within 14 days after the contract is made. If you expressly ask for lessons to begin during that period, a proportionate payment for services already supplied may be due. The right is lost after full performance only where the required prior consent and acknowledgement have been obtained.
The statutory cooling-off right may not apply to leisure services booked for a specific date or period. This does not make payments automatically non-refundable or remove the cancellation arrangements above. Undated packages should not be treated as automatically exempt.
To cancel, email Katie or send another clear statement identifying your booking. You do not need to use a particular form. Where a refund is due, it will be made without unnecessary delay, normally to the original payment method and within 14 days.
10. Questions and complaints
Please contact retrodancekatie@gmail.com with your name, booking details and concern. Katie will aim to acknowledge your message within three working days and work with you towards a fair resolution. Nothing in these terms limits your statutory consumer rights. Business customers may have different rights; any additional business booking conditions will be supplied with the quote.
